Board of Directors Meeting
25 January 2007
Committee Members Present: Louie Beaupre, Curt Corrigan, Jon Goodman,
Audrey Irwin, Dale Mood, Dee Perry, and Richard Leddon.
Minutes from the December Board meeting were updated and approved.
Swim:
The Board discussed using email lists for Club communications instead of paper for member convenience and cost savings. Audrey Irwin will meet with Bob Wahlheim on email lists for swimming.
The swim committee was made aware of a possible change in the Swim team schedule due to the school calendar change. The Board will need to discuss swim season and social events calendar impacted by school calendar change.
Tennis:
Doug Kazarosian has agreed to renew his contract with Meadows Club for 2007. All terms were acceptable to Doug and the tennis committee will execute the contract.
Regarding outside pros using Meadows Tennis courts. The policy going forward will have the following intent; all tennis professionals using the Meadows Courts for compensation shall be contracted with the Meadows Club Director of Tennis. Jon Goodman will finalize policy language.
The tennis committee will review all rules and regulations regarding tennis and provide recommendations to bring all documents up to date.
Paddle Tennis: Curt Corrigan collected ideas to propose to the City for the second illuminated paddle tennis court. In conjunction with the proposal to build a second illuminated paddle tennis court, tennis courts number nine, ten, eleven would be illuminated, and two courts would be added with lighting to the east of courts number seven and eight. John Miller will assist Curt Corrigan with City review process.
Manager’s Report:
Membership currently 233 families, 18 single parent families, 53 singles, and 48 juniors.
Presented revised budget for 2007 with changes to accommodate additional revenue for new members and additional expense for water consumption.
Fourth quarter and end of year taxes are completed. Waiting for CPA to assess.
The Meadows Club has a ½ share of the Howard Ditch used to run the Club sprinkler systems. There is a meeting on Feb 12th not likely be attended by a Meadows Club Board member. Dale Mood will obtain meeting minutes and determine if follow-up action should be taken by Board members.
Flood Insurance can only be written for the building and is not available for the Pool and Tennis courts. Dale Mood is examining cost of insurance versus putting together a fund to cover potential losses due to flooding (self insure). In addition, Dale is looking for bids to cover tree trimming and pond dredging.
Water estimates are based on aerial photos and acreage of Meadows Club. Richard Leddon and Dee Perry will follow up with City contacts to understand if current water budget can be adjusted.
Board discussed policy and definition of operating expenses versus capitalization and limits associated with each. Dale Mood will discuss options with accountants to maintain best possible tax situation for the Club.
Richard Leddon presented a template for a strategic planning process. The purpose is to set the direction for the Board’s management of the club over the short and long term. Board will discuss timetable and alternatives for gathering member input and data to support the strategic planning process at the next meeting.
