Board of Directors Meeting

21 March 2007

 

Committee Members Present:  Louie Beaupre, Curt Corrigan, Jon Goodman,

Audrey Irwin, Dale Mood, Dee Perry, Sara Oclassen, and Richard Leddon.

 

Minutes from the February Board meeting were updated and approved.

 

Standing Business

 

Swim: 

·                    A new 8 and under coach has been hired

·                    The search for a 15-18 coach continues

·                    All other coaches are returning for the 2007 season

·                    May 10th, 7pm - swim team meeting

·                    June 8th - swim team potluck

 

Tennis:

Several new pieces of equipment are needed:

·                    Four new nets

·                    Scorekeepers for all courts - Doug has recommended the tennis ball variety

 

There are recurring cracks in some of the courts. Doug will contact Duke Palluch, Director of Tennis at Harvest House, as to how to fix them.  Doug will arrange to get either a quote or get instructions on how to do repair the cracks in the courts.

 

Curt Corrigan made a motion to run a pilot program allowing non-members to play on Meadows Club USTA teams for 2007.  This option would be available to any adult USTA team that had been in existence at the

Meadows Club during the prior season, so that no new team could be formed using outside members.  Any one team could add no more than 4 non-members to the team.  Each non-member would need to pay a fee to the club of $75 and would not be allowed into the club any more than 6 times during one Spring through Fall tennis seasons.  These six times would include matches and practices.   The pilot program would only be for one year, so if approved, no team should have an expectation of it continuing indefinitely. The motion failed 2-5.  Curt Corrigan and Dee Perry voted for the motion.  Jon Goodman, Louis Beaupre, Audrey Irwin, Sara Oclassen, and Richard Leddon voted against it.

 

The Board approved the Austin Scott tournament organizers’ request to use some of Meadows' tennis courts.  In 2006, courts 1 and 2 on May 1-5, from 7pm till 10pm were allocated for tournament usage.  Doug will contact the tournament organizers and arrange which courts will be available for the Austin Scott in 2007. 

 

USTA registration forms are now available on the Club website. 

 

The Board will discuss the hosting of the Sue Burke MS Foundation Event for 2007 at the next meeting. 

 

The tennis committee will review all rules and regulations regarding tennis and provide recommendations to bring all documents up to date. 

 

General Business:

 

The club owes no taxes for 2006.

Estimates were submitted to Dale Mood for a new pool heater. 

Tennis court 5 lights are out and one bulb needed replacement.  Dale will follow up this repair. 

 

The strategic planning process will begin with an assessment of the financials and SWOT analysis of the Meadows Club Tennis program.  Richard Leddon will facilitate and get back to the Board with results at the next meeting.  Proposed draft timetable is attached via “strat_plan_timetable.ppt” PowerPoint document. 

 

Audrey Irwin set up the Meadows Club email lists for future communications.  There are three distribution lists (swim, tennis, general) with 256 addresses on the all member list, 123 on the swim list, and 218 on the tennis list.  Audrey noted that there has been excellent response from the membership in providing email addresses and positive feedback on utilizing electronic communications.  Next steps are to run a test email for each list and develop a protocol for administration of the email lists with Club operations.

 

Audrey Irwin researched options for internet access for use by Club operations staff.  Purchase of a computer and earthlink internet access were approved by the Board.  

 

Richard Leddon spoke with the City of Boulder Water Utilities Billing supervisor and developed the following recommendations to mitigating water expense.  The Board adopted and approved these recommendations.

·        Submit a water budget adjustment proposal based on a year with higher consumption for the Clubhouse meter

·        Invite the City water conservation specialists to come out to the Club and make suggestions

·        Consider purchasing a tennis court cleaner/sweeper versus spraying water from a hose

·        Train staff on how to reduce water usage during the summer

Miscellaneous:

 

·        Spring clean up is May 6th

·        Spring Fling Club Tennis tournament and all Club Spring Fling Party are May 12th

·        Need to discuss publishing all policies on the website

·        All minutes need to be stored in a binder via hard copy in addition to electronically on the website
